QuickBooks How To: Best Practice for Backing up Your Data File

To safeguard QuickBooks data against loss or data corruption, create regular backups of company files.

For desktop versions of QuickBooks (on your computer or in a cloud-hosted environment), we recommend assigning a person to manually back up the company QuickBooks files at least once per week (a .QBB file).

A .QBB file backup contains everything needed to re-create company files and your QuickBooks environment, including all of the QuickBooks files (templates, letters, logos, images, and so on) related to the company file. In case of accidental loss or damage, you can use the backup file to restore the company data.

A backup file also includes a transaction log (.tlg file) which Intuit Technical Support can use to recover transaction data if damage or loss occurs. The location of stored backups should be part of this policy, as it should be stored outside of the physical environment of your working QuickBooks file (in a cloud, at your home outside of your office).

The number of each file can be limited as this is a QuickBooks setting. During backups, the “Complete Verification” setting should be selected.
